Client overview
A long-standing Ask4Support client faced an urgent office relocation after a new landlord took over their premises. With limited time to plan, they needed expert help to move quickly and with minimal disruption. The move also presented an opportunity to modernise their IT setup and reduce reliance on physical infrastructure.
The challenge
- Tight timeline: The client had a short window to relocate.
- Hybrid working: The team required flexible solutions to support both office-based and remote work.
- Connectivity concerns: Moving to a serviced office meant less control over network infrastructure.
- Outdated hardware: Existing desktop PCs were not ideal for new, flexible working patterns.
- Opportunity to evolve: The business wanted to explore a move to cloud-based systems.
Our approach
We didn't just move equipment - we transformed the way the business works and utilises IT and technology.
Step 1: Deep discovery
- Conducted an on-site survey of both the current comms room and new premises to identify infrastructure needs.
- Engaged with staff and leadership to understand operational requirements and pain points.
Step 2: Strategic planning
- Assessed hardware and recommended transitioning from PCs to laptops for greater mobility and futureproofing.
- Scoped out the cloud migration, advising on suitable solutions and preparing a cost-benefit analysis of cloud vs. on-premises servers.
- Liaised with all key stakeholders, including the landlord, serviced office IT team, broadband, and phone providers, to ensure alignment.
Step 3: Seamless execution
- Managed the physical relocation, including safe disconnection, transport, and reconnection of IT equipment at the new location.
- Planned around connectivity challenges, ensuring high-speed internet access and redundancy.
- Configured AV and conference room technology, balancing functionality and aesthetics.
- Prepared all systems and user devices in advance to minimise downtime during the switchover.
Technical Implementation
- Installed a new router, patched through to the existing switch.
- Reused in-room Ethernet cabling as confirmed by the office provider.
- Ensured full network connectivity throughout the new space.
- Set up modern AV equipment for hybrid meetings and presentations.
The results
Key highlights
- Office move completed on time and with minimal disruption.
- Transitioned to a more agile, cloud-based setup supporting hybrid work.
- Fully connected office space with optimised layout and modern AV equipment.
- Positive post-project feedback, confirmed by client satisfaction survey.
